IRC has been working in Pakistan for over 30 years, and manages & delivers large, complex programs to meet needs in health, education, safety, environmental health and livelihoods for displaced, poor & conflict-affected communities. IRC works in partnership with local government and non-governmental organizations and currently works in the Khyber Pakhtunkhwa and Sindh provinces.

Job Overview/Summary:

 

Supply Chain  Assistant will be responsible to oversee day to day operational activities includes; maintaining office building, paying utility bills in time, inventory management, procurement, housekeeping, fleet management and logistical support to all program activities.

Major Responsibilities:

·       Supervise and ensure effective office maintenance as per IRC standards and

·       Ensure quality provision of clerical support to program and managerial staff through regular coordination and communication.

·       Facilitate Sr Supply Chain Officer in arrangement of domestic air travel for all the IRC staff.

·       Documentation of all the travel (PR, Local Request travel form, coordinate with security officer when and where needed).

·       Greet and assist visitors, answer phones, direct calls and respond to queries

·       Supervise support staff for effectively maintain office

·       Maintain office petty cash payments through program advance, carryout timely payment of utility bills and make adjustment of advances in  Sukkur office

·       Procurement of office , kitchen supplies

·       Maintain office file and inventory management

·       Coordinate repairs to office equipment, furniture and fixtures

·       Maintain schedule of meetings and  record minutes

·       Maintain stationary stocks and distribute stationary supplies, in keeping with IRC policies and procedures, as assigned.  Document the distribution and usage of stationary supplies.   

·       Photocopy, collate, sort and distribute documents, as requested.  Help to insure that photocopy machines are maintained and used properly. 

·       Run errands, as directed.

·       Participate in professional training and development activities, as needed or requested.

·       Prepare and provide material for trainings and meetings and attend meetings, when required

·       Perform other duties, as needed or requested.

 

Position Reports to:  Sr. Supply Chain Officer

Position directly supervises:  Cook, cleaner, office Aid

Indirect Reporting: none   

Job Requirements:

Education:

 

·                   BA  or BBA

 

Work Experience:

·       1 year work experience in Supply chain

 

Demonstrated Skills and Competencies:

·       Good understanding of Gender and vulnerability

·       Good understanding of SPHERE standards 

·       Good analytical, communication, mediation, report writing skills

·       Computer literate with Microsoft Word/ Excel

·       Willingness and ability to travel within project areas

·       Excellent team management skills

 

Language Skills: 

·       Fluent in local languages along with good Urdu and English speaking/writing

 

Desirable criteria:  

·       Ability to handle multiple tasks

·       Ability to keep clear and concise records.

·       Good written and spoken English.

·       Effective communication and negotiation skills.

·       Sound knowledge of MS-Office package.

·       Willingness to travel to field areas

·       Locals candidate preferred

·       Experience with INGOs
